The South San Francisco Conference Center hosted an organization that was bringing together its entire regional staff—across branches, departments, and roles—for a powerful all-staff training and culture-building event.
This is not a standard conference.

The Unique Aspects of the Event
This program was intentionally experiential and built around four themed breakout environments:
Play – Joyful, high-energy activities designed to spark creativity and authentic connection
Learn – Interactive sessions delivering tools, knowledge, and new perspectives
Grow – Reflective spaces for personal and professional intention-setting
Rest – Calming, restorative experiences focused on wellness and renewal
The Solution Our Team Developed
Our team approached the program like a production, not just a meeting.
Strategic Floor Plan Design: We mapped the building into experiential zones, assigning each breakout space a clear identity while ensuring smooth attendee circulation. High-energy “Play” areas were positioned away from “Rest” rooms to protect the intended atmosphere.
Adaptive Room Sets: The general session space was set in rounds to foster unity and conversation. Breakout rooms were pre-staged with flexible furniture layouts to support fast transitions. Our team built in buffer time and staged equipment to execute rapid changeovers efficiently without disruption.
Coordinated F&B Flow: Food stations were positioned intentionally to prevent congestion and maintain the event’s momentum. Service timing aligned with program breaks to avoid bottlenecks and maintain energy levels.
On-Site Operations Command: A dedicated event services manager coordinated closely with the client and AV partner throughout the day, ensuring real-time adjustments were handled proactively.
